Introducing AI Summaries: Faster clarity for the files that matter most

Every day, Arux users, both admin and families, upload files to keep programs running smoothly. These files include photos, policies, forms, agreements, incident notes, supporting documents, and more. These files are important, but reviewing them takes time. When you are moving quickly between sites and programs, even a few extra minutes per document can add up.
AI summaries can give that time back. Today, we’re introducing AI summaries, a new AI-powered capability in Arux that helps you understand uploaded files at a glance without changing how you work.
A quicker way to review uploaded files
AI summaries automatically or on-demand generate short, readable text summaries for files attached to Notes on View Pages within Arux. Instead of needing to open every file to remember the contents, users can simply scan a concise summary where they’re already working.
What are AI summaries?
The AI summaries feature is an enhancement to the Notes experience on View Pages in Arux. When a file is uploaded as an attachment to a Note, Arux can generate a short text summary of that file. The summary appears directly beneath the uploaded file, inside the note itself. Users still have access to the full file at all times — the summary is there to help you decide what you need to review and when.
AI summaries will support common file types, including PDFs, Word documents, and widely used image file formats.

Notes will look and behave the same way they always have, with added context layered in where it helps most. Only files that are uploaded as attachments to a Note on View Pages are eligible for summaries. Files uploaded elsewhere in Arux are not summarized.
Why this matters for admins and staff
Uploaded files often contain key details, but those details might not be quickly accessible during busy periods. AI summaries help by:
Cutting down time spent opening and skimming files
Making Notes easier to review during busy moments
Providing quick context for staff who did not upload the file themselves
Supporting consistency when multiple people reference the same record
Making sure you do not miss the most important details
For districts and organizations managing many programs, this can improve handoffs, reduce repeat work, and make it easier to stay aligned.
How to enable AI summaries
AI summaries is controlled at the system level, giving administrators clear oversight. You can manage the feature from System Preferences → Artificial Intelligence, where three configuration options are available:
Automatic
Summaries are generated automatically for all eligible uploaded files. Once enabled, summaries appear without any extra steps from staff.
On-demand
Summaries are generated manually using a button. When a summary is created, it is saved and visible to all users who can see that Note.
Disabled
AI Summaries is turned off entirely. No summaries are generated or displayed.
This flexibility allows each organization to decide how and when AI summaries fit into daily workflows.
